How to Target Recipient List in Mail Merge

Imagine you have a large address list and you do want letters to send to the specific people in your list.

Here we are going to explain this subject with one example;

we have a list and we want to send a letter to the students that their grades are higher than 90 and inform them that they invite for a tour as a reward.

For that, we recommend 3 methods and we will explain them in the following text.

How to Target Recipient List in Mail Merge with Filter

1- Click on the “Edit Recipient List”.

2- In the “Mail Merge Recipients” dialogue click on the Filter.

3- Add your desired data in the “Filter and Sort” dialogue.

4- Click Ok.

How to Target Recipient List in Mail Merge with Rules

1- At first be assured that your filter is empty, For that

  • Click on the “Edit Recipient List”.

  • In the “Mail Merge Recipients” dialogue, click on Clear All.

  • Click Ok.

2- Click on the Mailings tab.

3- Click at the beginning of your letter.

4- Click on the Rules.

5- Choose Skip Record If…

6- In the “Insert Word Field: Skip Record If” dialogue

Choose your desired data.

7- Click Ok.

8- Click on the “Finish & Merge”.

9- Click on the “Edit Individual Documents…”.

10- In the Merge Records part choose “All” and then press Ok.

In the new word file, you can see all letters for your desired recipients in the list.

How to Target Recipient List in Mail Merge with Field Codes

1- At first be assured that your filter is empty, For that

  • Click on the “Edit Recipient List”.

  • In the “Mail Merge Recipients” dialogue click on Clear All.

  • Click Ok.

2- Click at the beginning of your letter.

3- Hold Alt Key on your keyboard and press F9.

Now you can see all Field codes in your document.

4- Hold Ctrl on your keyboard and press F9.

Now you can write your formula inside the bracket.

5- Inside the bracket write “SkipIF” and then press “Space”.

6- Click on the “Insert Merge Field” and choose your desired field.

7- Press Space and add the comparison sign and then press space and then write your desired number.

8- Click on the Finish & Merge.

9- Click on the Edit Individual Documents…

10- In the Merge Records part choose “All” and then press Ok.

In the new word file, you can see all letters for your desired recipients in your list.
